Soft Glam by Rose – Terms and Conditions

Thank you for choosing Soft Glam by Rose. To ensure a smooth experience, please review and agree to the following Terms and Conditions. By securing your booking, you accept these terms as binding.

Definitions:

• The Client: The person receiving the service, named on the booking form.
• The Makeup Artist: Rose Deeney, Soft Glam by Rose.
• The Agreement: This contract between the Client and the Makeup Artist.
• The Fee: The total cost payable by the Client for the selected services.
• The Event: The date on which the Client’s wedding or other scheduled service takes place.
• The Party: Additional members of the Client’s bridal or event party.

1.​ Booking Confirmation and booking fee:

• To secure a booking, a non-refundable booking fee of £50 is required within 7 days of invoicing. This booking fee secures the date for the Event and is deducted from the final wedding day balance, not from the preview appointment fee.
• This booking fee is non-refundable. By paying this booking fee, you confirm that you have read, understood, and agree to the full Terms and Conditions provided by Soft Glam by Rose, available at www.softglambyrose.com/get-in-touch/ or upon request.

• Adjustments to the party size are permitted at the Makeup Artist’s discretion. However, when booking the ‘Bridal Party Package’, if more than one bridal party member cancels, the original agreed fee still applies. This is because the package includes makeup for up to three bridal party members, and is priced accordingly.

• Payment of the booking fee confirms acceptance of these Terms and Conditions.

2.​ Clients Responsibility:

• Allergies & Skin Conditions: The Client must inform The Makeup Artist of any known allergies, skin sensitivities, or infections (particularly contagious ones) that could be affected by makeup products or tools. If any such conditions exist, a consultation and patch test are recommended in advance to ensure compatibility with the products used.
• Liability for Reactions: The Makeup Artist is not liable for any allergic reactions, skin sensitivities, or other adverse effects that may occur if the Client or members of the party fail to disclose known allergies or conditions before the makeup application. It is solely The Client’s responsibility to communicate any potential risks to The Makeup Artist.
• The Makeup Artist reserves the right to decline service for any Client or party member with a contagious infection or visible skin condition that could affect the health of others or the quality of the service.

3. Health and Safety:

• The Makeup Artist adheres to all health and safety guidelines, particularly considering ongoing public health concerns. All tools and products are sanitised between clients to maintain the highest hygiene standards. The Makeup Artist reserves the right to refuse service to any Client or party member showing symptoms of contagious illness or infection (e.g., cold sores, eye infections), in the interest of health and safety. No refunds will be issued if service is refused for these reasons.

4. Payments:

• Final payment is due 28 days before the Event date, via bank transfer/payment link. If payment is not received on time, a late fee may apply, and services may be subject to cancellation.
• Payment of the booking fee signifies The Client’s agreement to all terms outlined here. Price quotes are locked at the time of booking, regardless of future price changes.

5. Late Payments:

• The final balance must be paid no later than 28 days prior to the event, as outlined in the invoice. If the payment is not received by this deadline, a late fee of £25 may be applied to the outstanding balance.
• For payments overdue by more than 7 days, an additional charge of 5% of the remaining balance may be added for each week the payment remains overdue. The Makeup Artist reserves the right to cancel the booking if payment is not received within 14 days of the final balance due date, with no refunds issued for prior payments.

6. Photography and Media Use:

• The Makeup Artist may take photographs for portfolio and marketing purposes. Please inform The Makeup Artist in advance if you do not consent to this. All images used for marketing will be handled sensitively and respectfully.

7. ​Liability:

• The Makeup Artist holds Public Liability Insurance up to £1,000,000.
• The Makeup Artist is not liable for third-party vendor performance, even if recommended by Soft Glam by Rose.

8. ​Bank Holiday bookings: ​

• Bookings that fall on UK Bank Holidays or Public Holidays may be subject to an additional fee. This reflects increased demand and unsociable working hours.
• Any applicable Bank Holiday surcharge will be confirmed at the time of quotation and included in the final price. Bank Holidays may include, but are not limited to: New Year’s Day, Good Friday, Easter Monday, Early May Bank Holiday, Spring Bank Holiday, Summer Bank Holiday, Christmas Day and Boxing Day.

9. Preview Appointments:

• To ensure that The Client and Makeup Artist gets to know each other well, a preview is required for all brides. However, other members of the bridal party are welcome to book a preview if they’d like, though it’s not required.

• As Fridays and weekends are reserved exclusively for weddings, preview appointments are typically available on Tuesdays, Wednesdays, and Thursdays, between 9.30am-3pm.

• Availability during other school holidays is very limited and are subject to availability, though the Makeup Artist will always do their best to accommodate where possible.

• No previews are available during July and August due to peak wedding season and personal commitments.

• Previews are booked in 4-6 months prior to The Event (wedding date).

• Payment for the preview appointments are due on the day of the appointment and must be paid in full by the time the appointment concludes. The preview fee is separate from the wedding day fee and is not deducted from the booking fee.

• Previews are for one look with the option to consider light tweaks, such as the following: Blusher / lip / liner. Any additional changes or second previews incur added fees, and a new preview booking is required. The Makeup Artist strongly recommends a preview to ensure satisfaction with the chosen look.

• Location where the preview appointment takes place: Soft Glam by Rose, NN12 7SR.

 10. Cancellations:

• Client Cancellations: Cancellations made more than 60 days before the Event incur no extra fees, though the booking fee remains non-refundable. Cancellations within 60 days incur a 50% fee; cancellations within 30 days incur a 75% fee.
• Makeup Artist Cancellations: In the unlikely event that The Makeup Artist is unable to attend due to illness or other uncontrollable circumstances, every effort will be made to find a suitable replacement. If no replacement is available, a full refund (including the booking fee and final balance) will be provided. No refunds will be provided for any previous preview appointments in the event of a cancellation by either The Client or The Makeup Artist, as these appointments are separate services provided in advance.
• Force Majeure/act of God: The Makeup Artist is not liable for cancellations due to severe weather, natural disasters, public health crises, or other unforeseen circumstances beyond their control. In these cases, the booking fee remains non-refundable. Refunds of the final balance will be reviewed on a case-by-case basis at The Makeup Artist’s discretion, depending on the circumstances. Clients are encouraged to have wedding insurance to cover these risks.

11. Travel and Accommodation Expenses:

• Travel within a 10-mile radius of NN12 7SR (Grafton Regis) is included. Outside this area, travel is charged at 50p per mile (for 2027 bookings), and 55p per mile (for 2028 bookings), round-trip. The Client is also responsible for parking and toll charges.
• For central London or locations requiring train travel, The Client will cover all travel expenses as agreed during booking.

12. Additional Travel and Accommodation Costs:

• If travel is required to your event location, any necessary additional expenses, including but not limited to hotel accommodation, and transportation, will be covered by The Client. This applies when the event schedule or logistics require travel the day before or early on the day of The Event.
• Changes to Booking Details: Should the booking details change after the initial quote and booking, such as an increase in the number of attendees, an earlier start time, or other logistical adjustments, the need for accommodation or additional travel arrangements may arise. In such cases, The Client agrees to cover any additional expenses incurred.

 13. ​Venue Change:

• If the makeup setup needs to occur at more than one venue on the day of The Event, an additional fee of £15 per setup (for 2027 bookings) and £30 per setup, (for 2028 bookings), will apply to cover extra travel and sanitisation.

 14. ​Time Management:

• The Makeup Artist is not liable for delays caused by other vendors, guests, or party members. If a party member is challenging to schedule, consider a separate preview appointment to minimise day-of delays. All party members should arrive on time, as delays beyond The Makeup Artist’s control will not result in refunds.

15. Right to Refuse Service:

• The Makeup Artist reserves the right to refuse service to any Client or party member who is uncooperative, disruptive, or poses a threat to the Makeup Artist’s safety or comfort. In such cases, full payment as per the agreed contract terms will still be required, and no refunds will be issued.

16. Gift Voucher Terms and Conditions:

• Gift vouchers are valid for 12 months from the issue date and are non-refundable.
• Gift vouchers must be redeemed by booking an appointment in advance.
• If the client cancels a booked appointment, they are permitted to rebook once, subject to availability.
• Rebooking is not guaranteed and depends on the availability of appointments.
• If an alternative appointment cannot be accommodated, no refund will be provided.
• By purchasing or using the voucher, the client agrees to these terms.

17. Copyright and Restricted Use of Materials:

• All documents, materials, and content provided by the Makeup Artist, including but not limited to ‘The Bridal Booklet’, are the intellectual property of Soft Glam by Rose and are protected under copyright law. These materials are provided exclusively for the personal use of The Client and their immediate bridal party.
• The Client agrees not to share, distribute, or reproduce ‘The Bridal Booklet’ or its contents with anyone outside the immediate bridal party. Members of the bridal party who receive the booklet are also prohibited from sharing, forwarding, or distributing the booklet or its contents to additional parties.
• Any unauthorised use, sharing, or reproduction of these materials will be considered a breach of copyright and may result in legal action.

18. COVID-19 or Pandemic-Related Cancellations:

• If public health restrictions or government mandates related to a pandemic prevent the scheduled service from taking place, either party may cancel or reschedule the event without penalty. Any fees already paid may be applied to a future date, subject to The Makeup Artist’s availability, or refunded at The Makeup Artist’s discretion.

19. Limitation of Liability:

• In the event of a cancellation by The Makeup Artist, any refund will be limited to payments already made by The Client (including the booking fee, if applicable). The Makeup Artist shall not be liable for any additional compensation, including but not limited to emotional distress, inconvenience, or consequential damages.

20. Severability and Governing Law:

• If any provision of this Agreement is found invalid or unenforceable, all remaining provisions shall remain in effect. This Agreement is governed by the laws of England and Wales.

21. Dispute Resolution:

• If a dispute arises regarding any aspect of these Terms and Conditions, both parties agree to first seek resolution through open and mutual communication. If an agreement cannot be reached, both parties may pursue further legal action as necessary.
